Procurement Assistant

ZINARA (Zimbabwe National Road Administration) is a government agency responsible for the management, maintenance, and development of the national road network in Zimbabwe.

ZINARA is seeking a highly organized and detail-oriented Procurement Assistant to join our Procurement Management Unit. This position is crucial in enforcing cost-effective procurement processes and contributing to the overall efficiency of the procurement function.

The Procurement Assistant will play a key role in supporting the day-to-day clerical activities of the unit and ensuring the effective implementation of procurement plans, strategies, policies, and procedures.

Duties and Responsibilities:


  • Submit documents to accounts and follow up on payments to suppliers, ensuring timely payment for goods and services.

  • Send out request for quotations to suppliers and assist in the procurement processes, including tendering, bid evaluation, and awards.

  • Compile and prepare bidding documents, in compliance with the Procurement Act and Procurement Regulations, for the sourcing of goods and services.

  • Participate in the evaluation of ZINARA procurement submissions, working closely with the Procurement Evaluation Committee (PEC).

  • Assist in negotiating favorable terms and conditions for items below the tender threshold.

  • Expedite the delivery of goods and services to ZINARA, ensuring timely receipt and payment to suppliers.

  • Maintain proper documentation and filing for all procurement proceedings conducted by ZINARA.

  • Communicate ZINARA's procurement policies, procedures, and processes to users, promoting a consistent and standardized approach to procurement activities.

  • Follow up and expedite the delivery of goods and services to meet user requirements.

  • Develop and maintain positive relationships with suppliers to enhance procurement efficiency.

  • Assist in the implementation of procurement contracts.

  • Ensure adherence to best practices and corporate governance principles in all procurement activities.

  • Assist in the facilitation of asset disposal in line with relevant policies and regulations.


Qualifications and Experience:

  • Minimum of 2 A' Level passes or equivalent.

  • Bachelor's degree in Supply Chain Management, Procurement, or any other related field.

  • Membership in the Chartered Institute of Procurement and Supply (CIPS) is preferred.

  • At least 2 years of experience in procurement, with 1 year of experience at a similar level in public procurement systems.

  • Strong knowledge of procurement processes, regulations, and best practices.
