The Marketing and Communications Department plays a crucial role in promoting the university's brand, managing communication channels, and enhancing its reputation. The department strives to provide excellent customer service and maintain a welcoming environment for all stakeholders.

Midlands State University is seeking a friendly and professional Receptionist to join the Marketing and Communications Department. As a Receptionist, you will be the first point of contact for university stakeholders, providing assistance in person, over the phone, and via email.

Your role will involve welcoming visitors, referring inquiries to appropriate staff members, having knowledge of the university's facilities and events, answering phone calls, and performing general administrative tasks.

Your excellent interpersonal skills, knowledge of university systems, and ability to work under pressure will contribute to creating a positive and efficient reception experience.

Duties and Responsibilities:


  • Act as the first point of contact for university stakeholders, ensuring a welcoming and professional environment.

  • Welcome and assist university visitors, providing an efficient and equitable service in person, over the phone, or via email.

  • Use knowledge and judgment to refer inquiries to the appropriate staff members or provide assistance as far as practicable when relevant staff are unavailable.

  • Have a strong knowledge of the university, campus geography, structures, and awareness of events to provide accurate information to visitors.

  • Familiarize yourself with university systems to assist and direct students, visitors, and staff.

  • Answer all incoming telephone calls with conversational etiquette and professionalism.

  • Direct and reroute incoming telephone calls to the relevant officers.

  • Perform general administrative tasks, including typing, filing, faxing, and photocopying.

  • Maintain a neat and organized reception area.

  • Handle inquiries and requests in a timely and efficient manner.

  • Assist with maintaining records and databases.

  • Collaborate with other departments to ensure effective communication and coordination.

  • Assist with special projects or events as required.


Qualifications and Experience:

  • 5 'O' levels, including English Language.

  • National Diploma or Higher National Diploma in Secretarial Studies or a related field.

  • At least 2 years of work experience in a similar environment.

  • Good standard of spoken and written English.

  • Ability to establish an effective rapport with visitors, respond appropriately and communicate information effectively.

  • Excellent telephone manners.

  • Computer literate in MS Word, MS Excel, and PowerPoint.

  • Experience using standard computer software such as email and MS Office.

  • Experience working effectively with customers face to face, in writing, using IT, and by telephone.

  • Experience recognizing and dealing with queries and problems effectively.
