Daramombe High School is looking for a mature, highly motivated, and experienced Secretary to join their dynamic team. As a School Secretary, you will play a crucial role in providing efficient and effective administrative support.
You will be responsible for performing numerous general official, computer-related (data entry), and secretarial duties. Your exceptional organizational skills, attention to detail, and professional demeanour will contribute to the smooth operation of the school's administrative functions.
Duties and Responsibilities:
- Provide general secretarial support, including managing correspondence, emails, and phone calls, and maintaining proper filing systems.
- Perform data entry tasks accurately and efficiently, ensuring the integrity of student and administrative records.
- Coordinate and schedule appointments, meetings, and events, and prepare relevant documents and materials.
- Assist in maintaining the school's official records, including student attendance, disciplinary actions, and academic reports.
- Support the administrative team in organizing school activities, such as parent-teacher meetings, school trips, and special events.
- Undertake basic bookkeeping tasks, such as invoicing, petty cash management, and reconciling financial records.
- Prepare and distribute official school communications, newsletters, and other written materials as required.
- Maintain confidentiality and handle sensitive information with the utmost discretion.
- Collaborate with staff, parents, and students, providing excellent customer service and addressing inquiries effectively.
Qualifications and Experience:
- Office management/Secretarial Diploma. HND / Degree is an added advantage.
- Minimum of 2 years of experience in a secretarial role, preferably within a school environment.
- Demonstrated professional demeanor and positive attitude in a fast-paced work setting.
- Well-organized, presentable, and detail-oriented, with a strong commitment to accuracy.
- Excellent verbal and written communication skills, with the ability to interact effectively with diverse stakeholders.
- Proficient in using Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Knowledge of bookkeeping principles and practices is essential.
