We are seeking a skilled and experienced Bookkeeper to join our finance department. The Bookkeeper will be responsible for overseeing various financial functions, including preparing monthly management accounts, cash management, debtors and creditors management, and supervision of the accounts department.
The role requires strong attention to detail, knowledge of taxation matters, and the ability to improve procedures and internal control systems.
Duties and Responsibilities:
- Prepare monthly management accounts and reports, ensuring accuracy and timeliness.
- Manage cash flow by preparing short-term and long-term cash flow projections.
- Oversee debtors and creditors management, including reconciliations and timely collection of outstanding payments.
- Supervise the accounts department, ensuring deadlines are met and accurate data is entered into the system.
- Review and recommend improvements to procedures (SOPs) and internal control systems.
- Handle taxation matters, including computation of corporate tax, tax returns, and compliance with tax regulations.
- Assist in the formulation of finance policies and ensure adherence to them.
- Prepare year-end accounts and coordinate with auditors during the audit process.
- Develop budgets and projections in coordination with department heads.
- Maintain and supervise the fixed asset register and capital expenditure (capex) activities.
- Check and approve reconciliations of nominal ledger accounts, including bank, payroll, and customs duty prepayment accounts.
- Reconcile petty cash, bank accounts, and payroll to ensure accuracy.
- Provide oversight and support for purchasing, asset maintenance, general administration, and property tenancy management.
- Collaborate with the Managing Director on financial matters related to the security department.
- Ensure that existing Standard Operating Procedures are maintained and adhered to by everyone.
- Improve SOPs as and when required and the need arises.
- Create new SOPs where there are loopholes in the operations and functions of the accounts department.
- Ensure that internal control systems are followed and that everyone in the department is maintaining professionalism.
- Liaise with the MD on matters regarding second opinion, for instance where internal control or procedures need to be altered or improved.
- Computation of the annual corporate tax.
- Compilation of the annual tax return form.
- Ensure that the QPD are paid timeously to avert penalties and interest cost.
- Utilize fully all the Income Tax (chapter 24:03) provisions to minimize tax liabilities.
- Ensure that PAYE and other taxes are paid as and when due.
- Check and approve the Value Added Tax return form.
- Preparation of annual accounts for audit purposes.
- Ensure that proper audit planning is done to achieve target dates for audit.
- Ensure that all audit schedules are accurate and complete.
- Swiftly and accurately attend to all auditors' queries to reduce time spent on the audit.
- Preparation of annual timetable or budget plan.
- Liaise with all departmental heads regarding their contribution to the budget.
- Compute department expense budgets for all departments.
- Preparation of the budgeted income statement, cash flow statement, and balance sheet.
- Check and supervise the fixed asset register.
- Ensure that new acquisitions of fixed assets are budgeted for and properly acquired.
- Authorize all new asset acquisitions and disposals.
- Reconcile the fixed asset register to the nominal ledger.
- Check and approve nominal ledger reconciliations.
- Ensure that each subordinate has reconciled their nominal ledger accounts.
- Check ledger accounts for mis-posts and bring any issues to management's attention.
- Prepare audit schedules and make necessary adjustments in financial records before the audit.
- Have draft financial statements ready on the date of audit entry.
- Ensure there are sufficient resources for the auditors.
- Define internal controls and procedures clearly to the team.
- Monitor day-to-day financial operations within the security department, such as payroll, invoicing, and other transactions, as well as client contract issues that have an impact on finance.
- Provide oversight role on purchasing, asset maintenance, general administration, and property tenancy management.
- Perform any other duties assigned by the Managing Director.
Qualifications and Experience:
- Minimum of 5 O levels, including English and Mathematics/Accounts.
- At least 2 A level passes.
- Higher Technical, Professional, or University Degree in Accounting, HND Accounting, ACCA, ACIMA, or CIS.
- Commercial, industrial, or professional experience of 4 years and above.
- Knowledge of customs clearing and forwarding is an added advantage.
- Strong knowledge of accounting principles and practices.
- Proficiency in accounting software and Microsoft Office Suite.
- Attention to detail and accuracy in financial record-keeping.
- Good understanding of taxation regulations and procedures.
